Privacy Policy

This policy explains what CommsRadar collects, why we collect it, who can see it and what choices you have. It covers commsradar.com, the CommsRadar mobile app and the email workspaces run through them.

Who is responsible for your information

CommsRadar is provided by EU Systems Ltd, a company registered in England and Wales, at https://commsradar.com ("we", "us"). It is an invite-only workspace tool for reading and sending email across the projects and mailboxes an organisation controls.

Where a workspace uses CommsRadar for its own mailboxes, that workspace is responsible for the mailbox data and we process it on the workspace's behalf. For your account details and anything you do personally in CommsRadar, we are responsible.

For the purposes of UK data protection law, the data controller for CommsRadar is EU Systems Ltd. Contact us at privacy@commsradar.com.

Information we collect

  • Account details: your name, email address, a hashed password, your role and which workspaces you belong to.
  • Workspace settings: projects, mailbox accounts, domains, invitations, permissions, spam rules and email signatures.
  • Email content: messages and attachments for the mailboxes connected to your workspace, so you can read, search, reply and forward.
  • Contacts: addresses and names saved after a successful send, plus recipient suggestions you type.
  • Connected mailbox access: encrypted connection records where a Gmail mailbox has been linked. We never see or store your Google password.
  • Projects Library link: an encrypted code that connects your CommsRadar account to your own Projects Library inbox.
  • Technical records: sign-in events, browser and device details, and errors needed to keep the service running and secure.

How we use information

We use it to deliver the inbox: showing and searching mail you can access, sending what you write, checking borderline spam, answering "Ask your inbox" questions, and keeping workspaces separated and secure.

We do not sell your information and we do not use it for advertising.

Where your email comes from

Mail arrives through the email service connected to your workspace. Gmail mailboxes appear only when Gmail is switched on for the workspace and the owner connects their own Google account.

We do not collect email from any mailbox that has not been connected by you or by a workspace administrator.

Who can see your information

Access is by invitation and permission. Each person can open only the projects and mailboxes their workspace admin has allowed, and admins can change or remove that access at any time.

We do not read your email for advertising, and we do not give your information to advertisers.

AI features

"Ask your inbox" uses an AI model to plan a search and to write an answer using short excerpts from emails you can already access; the answer links back to the emails it used. Borderline spam may also be checked by an AI model.

We do not use your email to train general-purpose AI models.

Services we rely on

We share only what each service needs to do its job, and each has its own terms:

  • Hosting, database, authentication and file storage (Lovable Cloud).
  • Resend, the email delivery service that sends the messages your workspace writes.
  • Google, when you connect a Gmail mailbox.
  • Projects Library, when you link your account and choose to send an email there.
  • The AI provider used for "Ask your inbox" and spam checks.

Where information is stored

Your information is stored on servers run by the providers above. Where this means information leaves your country, we rely on legal transfer safeguards such as standard contractual clauses.

How long we keep information

We keep information while your account or workspace is active. Deleting a message removes it from CommsRadar and keeps it out of later syncs; the original stays wherever it was received, such as the connected mailbox.

Automatic spam cleanup, workspace deactivation and account deletion remove mail from CommsRadar. We may keep limited records where we must, for example for legal or billing reasons.

How we protect information

Access is restricted to the person or workspace it belongs to, enforced at the database level. Credentials and link codes are encrypted at rest, traffic is encrypted in transit, and admins can deactivate a person immediately.

No system is perfectly secure. Tell us promptly if you think an account has been misused.

Your choices and rights

You can ask to access, correct, delete or export your information, or ask us to stop using it for a particular purpose. You can also withdraw consent where consent is the basis for processing.

To make a request, email privacy@commsradar.com. For mailbox data, we may ask a workspace administrator to confirm the request. If you are unhappy with how we handle your information, you can complain to your data protection authority (in the UK, the Information Commissioner's Office; in the EU, your national authority).

Cookies and browser storage

We use browser storage for the minimum needed to run the app: keeping you signed in and remembering your last selected workspace, project and mailbox view.

We do not use advertising or tracking cookies.

Children

CommsRadar is a business tool and is not directed at anyone under 16.

Changes to this policy

We may update this policy. The date at the top shows when it last changed, and we will highlight important changes in the app.
